Terms of Service

These terms are an agreement between you (the business using the service) and [Registered entity name], which operates the OOAK AI Labs Front Desk (“the service”). By creating an account or using the service, you agree to these terms. If you do not agree, please do not use the service.

1. Who we are

2. What the service does

The Front Desk is an AI assistant for your business. With your connection and permission, it reads your public Instagram profile and website to build a reply profile that reflects how your business communicates, and it automatically answers messages your customers send you on the channels you connect (for example, Instagram direct messages).

Replies are generated by artificial intelligence. They are produced automatically and can be wrong, incomplete, or not suitable for a given situation. You are responsible for how your front desk is configured and for the replies it sends on your behalf. The service does not provide legal, medical, financial, or other professional advice.

3. Your account

You must give accurate information when you sign up and keep your login details secure. You are responsible for activity under your account. Tell us promptly at hello@ooakailabs.com if you believe your account has been used without your permission. The service is for business use by people aged 18 or over.

4. Acceptable use

You agree not to use the service to:

break any law, or send content that is unlawful, misleading, harassing, or harmful;
send spam, or message people who have not contacted you or agreed to hear from you;
impersonate another person or business, or misrepresent who is replying;
break the terms or policies of any platform you connect, including Instagram and the wider Meta platforms;
attempt to disrupt, reverse engineer, or gain unauthorised access to the service.

You remain responsible for the messages sent from your account, including those drafted or sent automatically by the AI.

5. Your customers and their consent

When your customers message you, we process that conversation on your behalf so your front desk can reply. You are responsible for giving your customers any notice and obtaining any consent that the law requires for you to communicate with them and to have their messages handled by an automated assistant. As between you and us, you are responsible for your relationship with your own customers and for the lawful basis of those conversations.

6. Your content and data

You keep ownership of your business information and your conversations. You grant us the permission we need to host and process that data in order to run the service for you, including sending it to the providers described in our Privacy Policy (such as the AI provider that generates replies). We do not sell your data, and we do not use one customer’s data to serve another customer or to train our own models without your written consent.

7. Fees

Any fees, billing terms, and plan details are those we agree with you separately. Where the service is offered free or in a trial, we may change or end that offer with reasonable notice.

8. Availability and no warranty

We work to keep the service running, but we provide it “as is” and do not promise that it will always be available, uninterrupted, or error free, or that AI replies will be accurate or fit for a particular purpose. To the extent the law allows, we exclude warranties that are not expressly stated here.

9. Suspension and termination

You may stop using the service and close your account at any time by contacting hello@ooakailabs.com. We may suspend or end access if these terms are broken, if required by law, or if needed to protect the service or other users. On closure, we handle your data as described in the Privacy Policy.

10. Limitation of liability

To the extent permitted by law, we are not liable for indirect or consequential loss, or for lost profits, revenue, or goodwill, arising from your use of the service or from AI-generated replies. Nothing in these terms limits any liability that cannot be limited under applicable law.

11. Changes

We may update the service and these terms from time to time. When we make a material change, we will update the date above and, where appropriate, let you know. Continuing to use the service after a change means you accept the updated terms.

12. Governing law
